How we get your business ready for AI

Four steps, from a free check to automations and AI added one at a time, each measured against what it saves. Every step has a fixed price in writing before it starts, and you approve each one.

The four steps

  1. 01

    The AI Readiness Check, free

Clickable answers on screen, about 3 minutes, no files and no sign-up. Your estimate updates as you answer, from published benchmarks and our prior work. If you want the full report, it comes by email.

You get Your estimate on screen, and the full report by email if you ask for it.

You decide Whether to start the Business X-Ray.

  2. 02

The Business X-Ray, a fixed-price AI readiness audit

In 10 business days we map how your company really runs. We read your spreadsheets, databases and inboxes, and talk to the people who do the work. Every step, role and rule goes into your Operating Manual (your SOPs, roles and rules in one place). Every task worth fixing, automating or handing to AI goes on the Opportunity Map, with what it saves a year.

You get Your Operating Manual, your operating blueprint, a data health check, the Opportunity Map with the value of each fix, and the fixed price of the rebuild.

You decide Right, Wrong or Not sure on each flagged entry, and whether to rebuild.

  3. 03

    The Rebuild

We rebuild the way you work as one connected system, phase by phase, starting where the Opportunity Map shows the most value. The spreadsheets, the old database and the email chains move into it, with dashboards that flag problems early, analytics and a record of every change for audits. Each part is tested on your own past data before anyone switches.

You get One connected system with monitoring, analytics and an audit log. Yours, with the code.

You decide The order of the phases and the day each part goes live.

  4. 04

    Run and improve

Once a month we review the Opportunity Map with you. Automations and AI are added one at a time, each measured against what it saves, and the monitoring and the audit log stay current. Cancel any time.

You get A monthly review, new automations and AI as they pay off, and the value of each tracked every month.

You decide Which fix comes next.

Why the groundwork comes first

AI only pays off on a business whose work is written down and connected. Otherwise it speeds up the mess. An AI tool fed from scattered spreadsheets and an inbox repeats their gaps, only faster.

So the X-Ray writes down how your company runs and shows where the money is. The rebuild puts the work and the data in one connected place. Only then do automations and AI go in, one at a time, each measured against what it saves.

What goes into an Operating Manual entry

Every step, approval, check and exception your company runs on becomes one entry. The Operating Manual is the full set, in plain words.

  • The step or rule. One plain sentence that a new hire, or an AI tool, can follow.
  • A worked example. Given, When and Then, with real values, so a wrong entry is easy to spot.
  • Who does it. The role that owns the step, so no step is left to whoever remembers it.
  • Found in. Where the step lives today, such as a sheet, a database, an inbox or the person who told us.
  • Owner check. Right, Wrong or Not sure. Your answer is recorded on the entry.

A quote over $10,000 goes to the owner for approval before it is sent.

Given a quote over $10,000 for a repeat customer. When the sales lead finishes it. Then it waits in the owner's inbox for a yes, 3 days on average.

Where it comes from

Most of how a company runs lives in its tools. Some lives in documents. A part lives only in people's heads. We collect all three and say which is which.

  • Your tools, such as spreadsheets, databases, forms, macros, inboxes and the reports people build by hand.
  • Your documents, such as price lists, policies, contracts and the notes people keep next to the screen.
  • Your people, through short interviews and screen recordings of real tasks, for the steps nobody wrote down.

Where your tools, your written policy and your people disagree, the entry goes on the Conflict List. You decide which way is right, and the decision is recorded.

What the rebuild gives you

One connected system in place of the spreadsheets, the old database and the email chains. Yours, with the code.

  • Your data in one place, cleaned and described, so every team reads the same numbers.
  • Dashboards that flag problems early, such as a quote waiting too long or stock running low.
  • A record of every change, who made it and when, for audits.
  • Logins and access rights by role.
  • Connections to the tools you keep, such as your accounting package.
  • A base that automations, integrations and AI agents plug into safely.

Who checks the work

AI tools do the heavy reading and the first drafts. A senior operator checks every entry and signs every report. Tests check every part of the new system before it goes live. You sign off each step.
